This policy covers the StepTrail Recorder Windows app and this product website. The app is a development preview; this page describes its current data handling.

What a recording contains

When you start a recording, you choose a window or display. The app can collect screenshots, clicks, timestamps, capture geometry, available control labels, and text extracted from screen images. Video is optional. Microphone narration is recorded only when you enable it.

The app does not record keystrokes or read password-field values. Screenshots, screen text, video, and narration can still contain sensitive information visible or spoken during a recording. Choose your capture target carefully and review your guide before sharing.

Where your work is stored

Project content, captured evidence, AI suggestions, edits, and recovery records are stored locally. Project text is encrypted before storage in SQLite; media uses authenticated AES-GCM encryption. Project keys are protected with Windows DPAPI for your Windows profile. The default project location is %LOCALAPPDATA%/MeetingScribes/Library.

Working projects remain on your device until removed from its storage. There is no publisher cloud backup or automatic recording upload. Keep your Windows profile and keys backed up: encrypted working projects are tied to that profile and are not portable archives. Uninstalling the app should not be relied upon to erase all working files or exports.

Local AI and downloads

OCR, narration transcription, and instruction drafting run on your device. The app does not send recordings, prompts, extracted screen text, or generated instructions to a cloud AI service. Optional model files are downloaded over HTTPS and verified before activation. Downloads disclose normal connection information, such as your IP address and the requested file, to the download provider.

The development preview uses pinned model files hosted on Hugging Face. Publisher-controlled model delivery is being prepared for release. Windows may contact Microsoft for operating-system features, Store services, or WebView2 installation and updates; those services have their own privacy policies.

Exports and redactions

PDF, Word, HTML, PNG, and MP4 exports are ordinary unencrypted files in the location you choose. Opaque redactions are applied to exported image and video pixels. Original evidence and OCR metadata are excluded from export packages. Image redactions do not remove words from your instructions, captions, or audio: review visible text and mute sensitive narration separately.

Exporting does not erase original captured evidence from the encrypted working project. Temporary export content is created beside the selected output and cleaned up after completion or cancellation. Following a crash, cleanup is retried when the app restarts; an unavailable destination can delay removal. Protect the destination drive accordingly.

Support and AI feedback

Contact support@meetingscribes.com for help or to report inappropriate AI output. An in-app report contains only what you choose to type. Opening an email draft does not send it; you review and send it in your mail app. Recordings, prompts, screenshots, and guide text are not attached automatically.

If you email support, we receive your email address, message, and any attachments you choose to send, and use them to respond and investigate the issue. Please omit confidential information. For questions about, or requests concerning, information you have sent us, use the same support address.

This website

This site uses local assets and does not include advertising, analytics scripts, tracking pixels, or a contact form. Cloudflare provides hosting and may process network and security logs under its privacy policy. Email and external links open the relevant provider's service.
